Accessing Facility and Group Analytics

Overview

This guide outlines how to access, view, and filter performance data within the Clinware Portal. It covers workflows for analyzing specific facility data as well as aggregated metrics for facility groups to monitor referrals, clinical codes, and revenue optimization.

Prerequisites & Permissions

  • User Role Required: Facility Manager, Regional Manager, or Administrator.
  • Dependencies: An active Clinware account with access to at least one facility.
  • Time Estimate: 5 minutes.

Accessing Individual Facility Analytics

  1. Navigate to Clinware.com and click the Login button.
  2. Click the drop-down menu in the upper-left corner (next to the logo) and choose Select a Facility.
  3. Select the specific facility you wish to view from the list.
  4. Click the Analytics tab on the left-hand navigation panel.

  5. Locate the "Filter Usage Data" section at the top of the page.
  6. Select your desired Start Date and End Date.
  7. Click Apply Filters to refresh the dashboard.

Accessing Group Level Multi-Facility Analytics

  1. Log in to the Clinware Portal.
  2. Click the drop-down menu in the upper-left corner (next to the logo) and choose Select All Facilities.

  3. Click the Group Analytics tab on the left-hand navigation panel.
  4. Locate the "Filter Usage Data" section.
  5. Select your desired Start Date and End Date.
  6. Click Apply Filters to aggregate data across all facilities in the group.

Understanding Analytics Metrics

The Analytics dashboard displays several key data points based on your selected date range.

Group Analytics Overview

  • Overall Referrals: Total number of referrals processed.
  • Overall Accepted Referrals: Total accepted referrals and their average profit margin.
  • Overall Denied Referrals: Total denied referrals and their average profit margin.

Clinical Overview

  • Overall Total ICD-10 Codes: Total count of ICD-10 codes processed.
  • Overall NTA Points: Total NTA (Non-Therapy Ancillary) points accumulated.
  • Overall Brand to Generic Swaps: Occurrences where Clinware recommended swapping name brand prescriptions for generics to reduce pharmacy costs.

Key Performance Indicators (KPIs)

  • Overall Accepted Daily Profit Totals
  • Overall Accepted Profit per Patient
  • Overall Denied Daily Profit Totals
  • Conservative Reimbursement Total
  • Potential Reimbursement Total
  • Revenue Optimization Opportunity

Top Performing Facilities List
This section ranks facilities by Daily Average Profit and includes:

  • Total Referrals
  • Total Accepted and Rejected counts
  • Acceptance Rate Percentage
  • Daily Profit Total and Average

Validation

  • Individual Success: The dashboard updates to display graphs and metrics specific to the single facility selected for the chosen date range.
  • Group Success: The dashboard displays aggregated data sums and averages for all facilities within the group.

Troubleshooting / Common Issues

  • No Data Displayed: Ensure that the Start Date and End Date are set correctly and that the facility was active during that time frame.
  • Missing Facilities: If you do not see Select All Facilities in the dropdown, confirm with your administrator that you have Group Admin permissions.
